Cycle Report for Remote Employees (EOR)

The Payroll Cycle Report provides a comprehensive view of all employees included in the payroll cycle. It consolidates their contract details and captures any salary-related changes made during the cycle, ensuring transparency and accuracy in payroll calculations. This report serves as a reference for reviewing employee data, tracking updates, and verifying the information used in payroll processing, as well as reporting of payroll changes.

The Payroll Cycle Report provides detailed information on various aspects of employee compensation and updates during the cycle. Below is a breakdown of the data shown in the report:

  • Base Pay: displays the employee's base salary. In case of hourly pay it shows together with amount of hours worked in this cycle.

  • Benefits & Perks: shows the total value of benefits and perks for the team member in this cycle, converted to the your preferred currency.

  • Expenses: indicates the total reimbursable expenses for the team member in this cycle, converted to the your preferred currency. Expenses may appear here when they are submitted by an employee and then approved or it’s possible to add them at this point on behalf of the employee.

  • Overtimes: indicates total amount of overtimes for the team members in this cycle, converted to the your preferred currency.

Pay items in the cycle

Types of pay items:

  • One time – ie. Bonuses, Commission, Expenses, etc.

  • Recurring (contractual) – ie. Salary, Allowances, etc.

  • Personal - ie. Name change, marital status ect.

Pay item changes specifics:

  • To be applied and paid in the current payroll cycle, they have to be reported before the cut off-date.

  • Changes reported after the cut-off date can be either assigned to the next cycle or reported as off-cycle change for additional fee

  • Changes such as - ie. Sick leave, Expenses ect. must be submitted along with the confirmation document (e.g. receipt for expense or medical certificate for a sick leave).

Viewing Detailed Team Member Data

For a detailed overview of all data for a specific employee, you can click on the corresponding row in the report. This action opens a popup displaying the selected employee's data. Additionally, you can quickly switch between team members included to the cycle within the popup for streamlined navigation and review.

On the left side of the popup, you will find a list of all pay items for the selected employee in this payroll cycle. Here's how the information is structured:

  • Base Salary and Regular Items: These are always displayed at the top of the list. Regular items are sourced from the contract details in the employee profile.

  • New Items: Pay items added specifically during this cycle are marked with a “New” label for easy identification.

  • Recurring (contract) Value Changes: If there has been a change to a contract value, a trend indicator will appear near the amount, showing whether the new value is higher or lower compared to the previous one.

On the right side of the popup, you can view detailed information about a specific pay item. Simply click on any item from the list on the left, and the corresponding details will be displayed on the right for easy review.

Adding new pay item (reporting of the salary changes)

When you open a specific team member’s view from the cycle report draft, you can easily add new pay items for that team member. The system will suggest the most frequently used items from the last six months, you can select any other change from the list.

Editing/deletion of existing items

If you need to adjust or delete an existing item, you can do so until the cut-off date by simply selecting the desired team member and item on the cycle report draft page.

For contractual items, any changes made will be checked if they require employment contract changes and only after all necessary changes it will be applied and reflected in the profile of team member.

After cutoff salary changes

Once cut off date is reached, in some locations and during a specific period, it is still possible to do changes in the cycle. Adding cutoff salary changes is the same as adding regular ones, you just need to find the required cycle and click on the row of the employee on the cycle report page.

For each after cut off change additional fee will apply.
